Booking Terms and Considerations
By agreeing to the Cucumber Beach Terms and Considerations you agree to be bound by the following Cucumber Fields Ltd terms.
Payments
All payments must be made to Cucumber Fields in GBP (£)
A 50% deposit is required to secure all bookings. See Cancellation by participant terms below for further information on cancellation refunds.
The remaining payment can then be made by bank transfer using the following account details: Cucumber Fields Ltd, Barclays Bank - Account number: 83910938 | Sort code: 20-05-73
Balance must be made by 31st August 2023. Bookings made after this date must be paid in full.
Cancellation by Cucumber Fields
In the case that Cucumber Fields is forced to cancel the break you will receive an offer of a partial refund or credit to use on a future retreat.
In the unlikely event the venue will have to cancel the retreat and Cucumber Fields is not able to move the retreat to a new venue, you will receive a full refund.
Any pre-booked travel or travel insurance will not be reimbursed, which is considered to be booked by you, the participant, at your own liability.
Cancellation by participant
Should you no longer be able to attend due to injury or illness we will require a Doctors note and cancellation request in writing. In the case a participant needs to cancel due to unforeseen circumstances Cucumber Fields will do their best to support the participant but cannot guarantee anything and each scenario will be dealt with on a case-by-case basis.
Based on Cucumber Fields financial commitment with onsite suppliers the below cancellation periods need to be taken into consideration when booking:
From April to 31st August 2023 - funds paid minus your hotel fee and restaurant fee will be refunded.
From 31st August 2023 onwards - payments are not refundable.
Cancellation of attendance by participant – COVID related only
You may request a refund in the event of government-mandated restrictions on travel which results in an inability to attend the break. Please understand that a government travel restriction is different from personal choice to not travel, and includes the following situations.
Travel restriction from your country of flight origin at the time of the break.
Proof (in English) of government-mandated restrictions and positive test results must be submitted with an emailed cancellation request.
Cancellation 5 weeks or more prior to break start date - payments can be refunded minus the hotel and restaurant fees
Cancellation less than 5 weeks prior to retreat start date - payments are not refundable.
A cancellation will only be effective when Cucumber Fields has received a written confirmation via email to Gail of the cancellation and a response of acknowledgement has been received.
Travel and Insurance
It is the responsibility of each participant to book and arrange their own flights and UK travel to airports.
Cucumber Fields will not be liable for any flight bookings, UK travel or travel outside of the agreed transport offered within the advertised holiday package.
Participants are responsible for their own travel insurance and Cucumber Fields will not be liable for any losses, injuries, losses or damages for the duration of the excursion. Inclusive but not limited to changes of state of wellbeing, injuries, travel arrangements, illness incurred through dining arrangements.
Confidentiality
All personal information will be kept confidential and shared only between Cucumber Fields and third party suppliers such as The Wyndham Grand for the purposes of your providing you the relevant services on your holiday only.
Photography
We will be taking photos across the 4 days to capture fun and adventurous moments shared. These will be used for the purposes of internal promotion at Cucumber Fields only – website and social media channels. If you do not want to be included in any of the footage please let Gail know.
Allergies and injuries
It is the responsibility of the participant to inform Cucumber Fields event organisers of any allergies, health concerns and injuries that should be noted in order for you to safely attend the Cucumber Beach Active Wellbeing Weekend.
You will take full responsibility onsite for any existing health concerns and injuries.
Cucumber Fields will not be liable for any ill-health if the participant has not shared in writing that which needs to be considered for their safety in consumption, and also physical practise.
Cucumber Fields Ltd take no responsibility whatsoever, for any accidents or injuries incurred whilst in attendance of Cucumber Beach Active Wellbeing Weekend, Quinta do Lago Portugal.
The use of all onsite equipment and facilities is entirely at your own risk and Cucumber Fields Ltd will not take any responsibility for any accidents or injuries incurred. You must not use any equipment, or undertake any activity, unless you are satisfied that you are competent to do so in a safe and proper manner. When using all equipment and facilities, you must take care to safeguard your own health and safety and that of other people. You will be solely responsible for any loss or injury that you cause to yourself, other persons, or to the equipment of facilities through your unsafe or improper use of the equipment or facilities. This includes the use of them under the influence of alcohol or medication, or your failure to advise staff of a medical condition relevant to your use of the equipment or facilities.
