Cucumber Fields Ltd House Rules
By completing and submitting your application for membership via our website or by attending an appointment at ‘The Lodge’, you agree to be bound by the following Cucumber Fields Ltd rules.
Entering and leaving Cucumber Fields
All members and visitors are asked to respect our nearby residents by being quiet when entering or leaving Cucumber Fields premises or while in the surrounding area. Please observe the 5mph speed limit around the premises. Littering on site or around the entrance from Cucumber Lane is prohibited.
Parking
Where possible we would like to protect the view from the studio and to limit the passage of cars in front of the yoga studio windows during classes. With this in mind if you are attending a Stages Cycle class, please kindly park in the allocated cycle parking bays directly in front of the cycle studio.
If you are attending classes in the yoga studio and the weather is dry, please park down by the large black barn and enjoy a short stroll along the track past the animals paddocks to The Pantry entrance.
Please note that all visitors and members to Cucumber Fields park entirely at their own risk. We accept no responsibility for any damage or theft caused on the premises.
Studio Attire
Please wear appropriate active wear for the class you are attending. We kindly request that you remove your shoes and leave your bags and outerwear on the hooks or within lockers provided in The Pantry area, The Changing Rooms or in the entrance to The Studios. Please note we will not take any responsibility for your personal belongs and encourage you to provide your own combination padlock to secure your locker. (Key padlocks are available for loan on request).
Members are encouraged to bring their own mats and props to class.
Membership Payment Rules
You are required to give 4 weeks notice in writing by email to pippa@cucumberfields.co.uk if you intend to cancel your membership subscription. It is your responsibility to update payment methods for autopay memberships when necessary. * Additional Membership Terms and Considerations below.*
General Membership Terms
Class booking is mandatory. Booking window opens 21 days in advance and closes 15 minutes before the class start time.
A 6 hour cancellation policy applies to Yoga, Mat Pilates and Cycle class bookings: With less than 6 hours notice, the booking pass and payment will still be deducted. A late cancellation fee of £15 will be applied to Unlimited Members.
A 24 hour cancellation policy applies to Reformer Pilates class bookings. With less than 24 hours notice, the booking pass and payment will still be deducted. A late cancellation fee of £15 will be applied to Unlimited Members.
Classes at Cucumber Fields are booked on a first come, first served basis and places are limited.
The owners have the discretion to terminate members contracts with immediate effect in the event of unreasonable or inappropriate behaviour.
Class Pack Terms
“Yoga/Cycle/Mat 3” is valid for 4 weeks from date of purchase.
“Yoga/Cycle/Mat 10” is valid for 15 weeks from date of purchase.
“Reformer 3” is valid for 4 weeks from date of purchase.
“Reformer 5” is valid for 10 weeks from date of purchase.
“Reformer 10” is valid for 15 weeks from date of purchase.
It is advised members book sessions at point of purchase to reserve a place at their chosen classes - bookable up to 21 days ahead.
All Reformer attendees must complete a minimum of x5 Reformer Foundation classes or a Private Tuition session before booking into Reformer Evolution classes.
Class Packs cannot be extended unless a doctors note is provided to state that exercise is not advised for a duration of 3 weeks or more.
Monthly Subscription Membership Terms
Monthly Memberships run on an autopay monthly basis from contract start date.
Minimum contract term for Monthly Memberships is 3 months before they may be cancelled or paused (for minimum of 4 weeks).
A 4 week notice period is required for contract cancellations and must be requested by email.
Monthly Memberships are for the contract holder only; passes cannot be transferred or shared.
Monthly Memberships account for 50 weeks of the 52 week year.
Unlimited Monthly Members may receive 10% discount on Events and 20% discount on any Reformer Class Packs. (Discounts apply only to the contract holder. Discounts do not apply to Treatment bookings or Pantry purchases.
Unlimited Monthly Members are required to cancel class bookings on the App if unable to attend a reserved session.
If an annual or unlimited member cancels a Yoga, Mat Pilates or Cycle class within the 6 hour cancellation window a fee of £15 will automatically be deducted from the card on their account.
If an annual or unlimited member cancels a Reformer Pilates class within the 24 hour cancellation window a fee of £15 will automatically be deducted from the card on their account.
Cancellation charges may be appealed in writing for consideration, should urgent or unavoidable circumstances occur that prevent cancellation within the 6-hour/24-hour window.
If an unlimited monthly member continually ‘late cancels’ or ‘no shows’, Cucumber Fields reserves the right to pause the unlimited members ability to book classes and to withdraw the unlimited membership option. Should this situation arise, the option to transfer to a ‘Pay you go‘ membership will be offered as an alternative.
Annual Memberships
This particular membership is by request but cannot be paused, extended or refunded.
If an annual or unlimited member cancels within the 6 hour (Yoga, Mat Pilates, Cycle class) or 24 hour (Reformer Pilates class) cancellation window a fee of £15 will automatically be deducted from the card on their account.
Private Tuition
A 10 hour cancellation policy applies to Private Tuition bookings: with less than 10 hours notice, the booking pass & payment will still be deducted.
Private Tuition single pass is valid for 4 weeks and a pack of 6 passes is valid for 6 months.
Cancellation of Cucumber Fields Ltd Events
In the event of Cucumber Fields needing to cancel any pre-booked events (outside of those included within the monthly or annual membership subscriptions), any payment made will be fully refunded.
Should you need to cancel your event booking, kindly note we have a 48 hour cancellation policy. Cancellations with less than 48 hours are non-refundable unless we are able to fill your place from the waitlist. Bookings made within the 48 hour prior to the start of the event period are fully chargeable and non-refundable.
Cucumber Fields Courses cancellation and refund policy is specific to each course - please refer to the terms and conditions on the course page for information.
Cucumber Fields Ltd Exchanges and refunds
Returning your product because you changed your mind: Please return your item unused and in original condition (including all labels and tags intact) with proof of purchase within 35 days, and we’ll give you an exchange or refund.
Returning a faulty item: If your product develops a fault within 30 days of purchase, please return with proof of purchase and we’ll exchange or refund it.
Payment policy
Cucumber Fields operates a cash free policy. All purchases need to be made with contactless payments or by using a debit card.
Illness or Injury
Pausing of memberships due to illness or injury will only be permitted upon presentation of a certified medical note from a doctor where you are unable to exercise for a minimum of 4 weeks.
Personal Detail Requirements
Following the completion of your membership form document, you are responsible for updating us with any changes to your personal details or health conditions
We will use the personal information you provide us with in connection with your membership, in accordance with our Privacy Policy
Upon creating an account with MindBody at Cucumber Fields, members are automatically subscribed to email communications regarding offers and important information updates. Members may unsubscribe via the Settings area of their app should they not wish to receive these occasional communications.
Confidentiality - all personal information will be kept confidential and will not be shared with any 3rd parties.
Children – Unfortunately children under 16 are not permitted at Cucumber Fields unless they are attending specific timetabled classes and events.
Dogs - are welcome within the Outdoor Seating areas of Cucumber Fields providing they are well behaved and strictly kept on a lead. Please kindly clear up after your dog if the need arises.
The Pantry
WiFi is available at The Pantry for your own use. We ask that you kindly refrain from using The Pantry as a prolonged place of work.
Opening hours of The Pantry - we are open 30 minutes prior to the first class in the morning or evening and up to one hour after.
The Pantry space is welcome to Members who have pre-booked a class.
We at Cucumber Fields Ltd will make every possible effort to list all ingredients and allergens in foods and beverages, however we cannot be held responsible for any healthcare emergencies or allergic reactions arising from consumption of foods and drink on our premises.
Please refrain from bringing in any personal food or beverages into Cucumber Fields unless it is deemed medically necessary.
Use of mobile phones and laptops
To protect the relaxed atmosphere within Cucumber Fields, please keep your mobile phone silent.
The photographing or video recording of other members’ of Cucumber Fields without consent is prohibited.
Illegal Substances
Illegal drugs/substances/items are prohibited on the premises. If we believe believe you are under the influence of any illegal substance we reserve the right to ask you to leave the premises.
Smoking, e-cigarettes and vaping is not permitted anywhere on the premises.
Outside and inside surroundings – risk awareness
Please be aware the water in the pond is deep and visiting the pond is at your own risk.
Please refrain from feeding the animals. The animals may bite. We will not be held responsible for any injury resulting from any of the animals.
We have many wild animals living on the grounds of Cucumber Fields, whilst walking around the grounds, please take reasonable precautions when travelling around the grounds and keep a close eye out for rabbit burrows, mole hills and uneven, hazardous surfaces.
Please be mindful of farm and gardening machinery on site to stay clear from hazards of.
Cucumber Fields Ltd take no responsibility whatsoever, for any accidents or injuries incurred whilst within the premises or surrounding grounds.
The use of our equipment and our facilities is entirely at your own risk and Cucumber Fields Ltd will not take any responsibility for any accidents or injuries incurred. You must not use any equipment, or undertake any activity at Cucumber Fields, unless you are satisfied that you are competent to do so in a safe and proper manner. When using the equipment and facilities at CF, you must take care to safeguard your own health and safety and that of other people. You will be solely responsible for any loss or injury that you cause to yourself, other persons, or to the equipment of facilities through your unsafe or improper use of the equipment or facilities. This includes the use of them under the influence of alcohol or medication, or your failure to advise staff of a medical condition relevant to your use of the equipment or facilities.
Liability of Cucumber Fields Ltd
All items bought into CF are brought and left entirely at the risk of any visitor or member. CF, its staff and agents shall not be liable to any member or guest for any loss, damage or injury suffered by them or their property how so ever caused. This is not intended to affect any mandatory rights a member or guest may have under local law that we cannot legally restrict or exclude.
Amendments to the rules
CF may change the House rules from time to time by displaying notification of the change on cucumberfields.co.uk.
